Position overview
We are seeking an experienced and highly organized Personal Assistant to support the CEO of our company. The ideal candidate will have prior experience in a similar role, be fluent in English, and possess excellent communication skills. This role requires a proactive and resourceful individual who can handle a variety of tasks, from business travel arrangements to personal errands.
YOUR BACKGROUND
- Proven experience as a Personal Assistant, Executive Assistant, or in a similar role.
- Fluent in English; additional languages are a plus.
- Strong organizational and multitasking skills, with a keen attention to detail.
- Excellent written and verbal communication skills.
- Discreet and trustworthy, with the ability to handle confidential information.
- Knowledge of Budapest city layout and local amenities is an advantage.
- Familiarity with tools such as Google Workspace (Gmail, Calendar, Drive), and task management tools like Jira.
- Flexibility to work beyond standard hours when needed.
Responsibilities
Travel Coordination: Arrange and manage all business travel for the CEO, including booking flights, accommodations, and transportation, ensuring smooth travel experiences. Calendar Management: 1.Schedule meetings with potential clients, partners, and other key stakeholders. 2.Confirm availability with attendees and follow up with those who have not scheduled a meeting. 3.Ensure all meetings are properly scheduled, with all relevant details and materials prepared in advance. Email Management: 1.Monitor and manage both personal and work inboxes. 2.Organize emails based on priority, category, and action required. 3.Ensure important emails are flagged and responded to in a timely manner. 4.Regularly declutter inboxes and archive unnecessary emails. Communication: 1.Reach out to individuals via phone or email to confirm their attendance at scheduled meetings. 2.Follow up with contacts to ensure that all necessary arrangements are in place. 3.Handle basic correspondence on behalf of the CEO, including drafting and responding to emails. Meeting Coordination: Greet and manage guests for offline meetings, ensuring all necessary arrangements are made for a smooth and professional experience. Administrative Support: 1.Assist with personal tasks such as booking appointments, making reservations, or handling personal correspondence. 2.Manage receipts and expenses, organizing them appropriately and preparing them for bookkeeping on a monthly/quarterly basis. 3.Send reminders (some on a regular basis) to the CEO or other third-party individuals as needed. 4.Provide ad-hoc administrative support as required, such as preparing documents, organizing digital files, and managing tasks lists.
